X.ai: A Personal Assistant at Your Disposal

Although most advocacy professionals wouldn’t mind an extra pair of hands to help with the countless responsibilities in a day, not everyone is lucky enough to have personal assistance with general daily tasks. If you are in a position where you are constantly scheduling meetings with customers, you may find that the task is very time-consuming. Going back and forth in email to find a time to meet can be tedious and reduce productivity. In addition, it can be a hassle to determine the correct time zone and the appropriate meeting time when contacts are located in different regions.

x.ai is an artificial intelligence-powered personal assistant application designed to help with meeting scheduling. The application manages all the tasks associated with scheduling, including sending emails, coordinating availability, and creating calendar events.

I’ve been using the application for several months and it has given me peace of mind that a meeting-scheduling task is being taken care of while I focus my time on other activities. I’ve found that this application is most useful for scheduling customer advocate recruitment calls as it is very efficient and saves me a lot of time.

Using this application, scheduling meetings can happen one of two ways:

  • Send an email to a customer and the AI agent will coordinate a time that fits everyone’s schedules with no effort on your part.

  • Share a x.ai URL in an email to the customer that lets the contact check a time according to your calendar preferences.

If you choose the Send an email option, you will receive an email confirming that the scheduling is underway. The AI agent then keeps you apprised of the status of the outreach through email updates. If the contact does not respond, the AI agent will make several attempts before alerting you of no response.

Once the customer selects a date and time, the AI agent immediately adds the meeting to both calendars and sends an email notice to every one of the confirmed date and time. Since the AI agent determines your availability according to open time slots in your calendar, it is very important to keep your calendar up to date to eliminate any double bookings.

If the contact lets you know that they need to reschedule a meeting, you can request that of the AI as well. Simply select “reschedule” and the AI agent will manage the process of finding a new date and time to meet.

Another cool feature that I enjoy is that every morning, the AI agent sends an email that lists all the meetings on my calendar for the day in a very digestible, clean format.
